Total Cost of Ownership (TCO)

Definition: All-in cost of operating a SaaS product including license, integrations, training, and switching costs.

What it is

Total cost of ownership extends beyond a tool's per-seat list price to include integration costs, custom build effort, training time, admin overhead, and the eventual cost of switching out. For workspace tools, TCO is dominated by setup time and integration burden — not the monthly bill.

Why it matters

Cheap tools with high TCO are often more expensive than premium tools with low TCO. Smart procurement looks at 12-month TCO, not month-1 list price.
